Add customer fiscal information for Colombia

Add complete identity and address information before attaching an identified customer to a sale that requires a DIAN electronic invoice. You can add or edit this information in FreshlyCart POS or Back Office.

Information required for an identified customer

FreshlyCart requires these customer details when it prepares an identified customer for a DIAN electronic invoice:

  • Customer type
  • Identification type
  • Identification number
  • Full name for an individual or Business name for a business
  • Email
  • City
  • Address

For an individual, the available identification types are Citizenship ID, Foreigner ID, Passport, and Foreign document. For a business, FreshlyCart uses NIT and also requires the one-digit Verification digit.

Phone Number and internal Note are available but are not part of FreshlyCart’s required identified-customer fiscal set.

  1. In FreshlyCart POS or Back Office, open Customers.
  2. Create a customer or open an existing customer for editing.
  3. Under Customer type, choose Individual or Business.
  4. Under Identification, choose the applicable Identification type and enter the Identification number.
  5. For a business, confirm NIT and enter the Verification digit.
  6. Enter the customer’s Full name or Business name and Email.
  7. Open Additional information, then enter City and Address.
  8. Select Create customer or Save changes.

When you attach an identified customer to a sale, FreshlyCart uses the saved identity and address details to prepare that customer’s fiscal information. If you complete a sale without an attached customer, the current Colombia workflow uses CONSUMIDOR FINAL instead of inventing an identified customer’s details.

FreshlyCart’s customer fields record information used by the product. They do not determine which identification a buyer must provide or whether a particular transaction needs an identified buyer. Confirm those obligations with your tax or legal adviser.
